Somewhere in your email right now is a deadline you forgot you agreed to. Gmail AI Inbox is Google's new attempt to dig it out for you.

That's not on you. Tasks show up buried in paragraph four of a reply-all thread. Google is betting a lot of people have that problem. On October 15, it announced that Gmail's AI Inbox is rolling out to paid Google Workspace users, and Android Authority covered it the next day.

What Gmail AI Inbox does

AI Inbox does two things. It pulls out "suggested to-dos," meaning action items, deliverables, and deadlines hiding inside your email conversations. And it gives you short summaries of the topics you need to catch up on, including long back-and-forth threads.

The same week, Google brought Gmail Live to Workspace users on Android and iPhone. You tap Live in the Gmail search bar and just ask out loud. Google's examples include "When is my next mandatory training due?" and "What gate is my flight leaving from tomorrow?" Each answer shows a card with the email it came from.

Gmail AI Inbox not showing? Here's why

A couple of honest caveats. For now, both features are US only and English only. On personal Gmail accounts, you need a paid Google AI plan. And rollouts take up to 15 days to show up, so you may not see them yet.

Why your email needs a real to-do list

Most of us use email as a filing cabinet and a to-do list at the same time, and it's bad at both. The tasks are in there. You just have to dig.

At work, that's the "can you send me the numbers by Friday?" tucked into a thread about something else.

At home, it's the permission slip deadline in the school newsletter, the "confirm your appointment" email, the renewal notice that auto-charges in a week.

A tool that surfaces those for you is useful. A tool you trust blindly is not. AI pulls out what looks like a task. It doesn't know which ones actually matter to you.

Try this today

Whether or not you have AI Inbox yet, do this once.

  1. Set a 15-minute timer.

  2. If you have AI Inbox, open it from the Gmail menu and look at the suggested to-dos. If you don't, search your email for "by Friday," "deadline," "due," and "please confirm."

  3. Move every real task onto the one list you actually check, whether that's paper, your calendar, or a notes app.

  4. Delete or ignore anything that isn't really yours.

  5. For anything with a date, put the date on your calendar now, not later.

  6. If you have Gmail Live, try one spoken question on your next walk to the car, like "What do I owe anyone this week?" Then tap the source card and check it.

You don't need a perfect inbox. You just need the promises out of your email and onto a list where you'll see them. For more small fixes that give you time back, grab my free Top 10 Productivity Hacks.
